Standard Operating Procedure (SOP) for Atal University Research Fund for Under Graduate Students of Affiliated colleges

Preamble:
Research is crucial in health sciences as it drives advancements in understanding diseases, developing new treatments, and improving overall healthcare specially if it is done on diseases and problems pertaining to state.
The University aims to drive the initiative of research in its affiliated colleges. To promote the culture of research among the Students and Faculty Members of affiliated Colleges, Atal Bihari Vajpayee Medical University, UP, Lucknow, the University has created a Research corpus fund. With this corpus, ABVMU has planned funding for Faculty members, under-graduate students, post-graduate students and super-speciality students of the affiliated colleges.

Proforma for Progress Report

Eligibility to apply as Student:
Under Graduate students, studying at the colleges affiliated to ABVMU, can apply during the tenure of undergraduate degree course. (The proposal must be sent under a faculty mentor, with a commitment to work with and guide the student/s)

    • Nursing and Paramedical Faculty:
      • For 4-year Courses:  In the 1st to 3rd year of Undergraduate Course
      • For 2-year Courses: In 1st year of Undergraduate Course
    • Medical and Dental Faculty: In the 1st to 3rd year of Undergraduate Course

Maximum Permissible Time for The Projects Funded by ABVMU:

  • Undergraduate students:                              
    • For Individual or group projects Maximum of 4 months
    • For Observer-ship                                       Maximum of four weeks (May be split into two parts)
    • ABVMU Short Term Studentship (STS)              Maximum of 1 year

Note:

  • The time period of students will not be extended beyond the designated period.
  • One faculty member can mentor a maximum of One UG student and One PG student per year for the Atal University Research Fund.
  • If the required facilities are not available in the college of PI or Co-PI, may be allowed to be availed from other Institutions, with prior permission of ABVMU, however, preference will be given to Government facilities.  
  • In cases of Studies involving clinical materials, ABHA ID (Birth Certificate number issued by CRS portal in case of new born) of patients recruited in the study must be included in the consent forms and, is also to be included in the six-monthly reports submitted to ABVMU.
  • The applied project should not be already funded or applied for funding from any other source. PI will have to give an undertaking to this effect.
  • In case of students, all financial liability will be managed by Guide/ Mentor.

Atal Bihari Vajpayee Medical University, UP (ABVMU) has an MOU with various Institutions, under which the faculty members and students of colleges affiliated to ABVMU, may use their facilities for research work.

Funding Amount to be provided under Atal University Research Fund
Under this scheme, Atal Bihari Vajpayee Medical University, UP, will provide funds up to a maximum limit as described below:

 

For Undergraduate Students:

 

 

  • For Observer-ship:

AC 3T Train Fare only by shortest route + Observer-ship Fees, if any, charged by  Government Funded Institutions, where observer-ship is to be done.

 

  • For Research Projects by a group of 2 or 5 students under Faculty Mentorship:

Up to Rs. 30000/-

 

 

  • For Research Projects by individual students under Faculty Mentorship

Up to Rs. 25000/-

 

  • ABVMU Studentship (after approval of final report):

Rs 10000/-

NOTE:

  • The amount of funding and the number of projects awarded with funding will depend upon the merit of submitted proposal.
  • Depending on the number of projects received from college/s, an equitable distribution of funds shall be done mainly based on the merit of projects.
  • The selections for funding will be made on competitive basis after formal evaluation by a panel of experts nominated by Hon'ble Vice Chancellor, under chairmanship of Faculty In-charge, Research with the Dean of concerned Faculty.
  • The PI and Co PI/s will have to give an undertaking to complete the project within the allotted time and submit the report to ABVMU. It will be countersigned by the principal of the college where the applicant is working or studying.
  • This funding will not be given for PhD projects of students registered with the Guide. Also Funding given by ABVMU will not be directly or indirectly utilized in PhD project work.

Important considerations:
  • Funding will be provided for Consumables + Contingency + Transportation Only (Only in case of Field based research).
  • Contingency may include stationary items/ postage etc. A maximum of 10% of total sanctioned budget may be under contingency head. (It will be reimbursed on production of actual bills).
  • Funding provided, cannot be used for buying equipment, hiring manpower.
  • Consumables will include additional investigations, which are not a part of routine patient care. Such investigations need to be approved by institutional ethics committee. Institutions are encouraged to cross subsidise such investigations to promote research.
  • Once Funding from ABVMU is approved, the project work should start within 3 months' time.
  • A maximum amount of Rs. 20,000/- may be granted towards the publication charges of original research articles, generated by ABVMU funded project, for publication in Journals which are indexed with PubMed, Scopus or WOS or with National association / society Journal (Upon production of acceptance).
  • In case of Field based research, budget may be utilized towards transportation charges for field-based data collection, with prior approval from ABVMU. Justification of budget requested as transport expenses must be presented at the time of submission of the project.
  • Mode of Funding/ Procurement of Consumables for Undergraduate projects:
    • For Undergraduate/ Post Graduate/ Super specialty projects funding may be given as a one-time grant.
    • A utilization certificate is to be submitted to ABVMU, verified by Guide and Principal of College.

 Time of Inviting the Research Proposals for Funding:

  • Proposals for Funding of Undergraduate Projects shall be invited by Atal Bihari Vajpayee Medical University, UP, Once every year.
  • Proposals for Observer ships and ABVMU Studentship shall be invited by Atal Bihari Vajpayee Medical University, Once every year.

Guidelines for preparing the proposal
Proposals must be submitted in the Attached Format - no more than 10 pages (Font Times New Roman, Size 12, single space with 2 cm margins all around), which must have the following sections. The signed proposals shall be submitted in pdf format to the University. The submissions will have to be routed through proper channel.
The project has to be prepared under following headings:

  • Tile of Project
  • Background & Rationale
  • Objectives
  • Materials & Method

(Please include setting, study design, participant selection, intervention or investigative procedures if any, variables with their definition and measurements, sample size, data management, and analysis)

  • Facilities available in institute/ collaborating institutions
  • Expected results and their importance
  • Informed consent form
  • Study Proforma
  • Preliminary work done – if any.
  • Project plan on dissemination and future related work
  • Study collaborators and institutions - if there
  • Itemized Budget with justification
  • References – Maximum of 10
  • Brief CV (up-to 200 words) of PI and Co PIs – should include designation and affiliations in last 3 years
  • Teacher's id of PI and Co PI must be mentioned (NMC if applicable).

Note:

  • All the proposals for funding shall be countersigned by Guide and Principal of the Affiliated College.
  • Institutional Research Committee approval should be submitted along with proposal.
  • Photocopy of student ID card and Aadhar Card, for students, must be submitted as applicable.
  • For Collaborative Projects/ Multicentric Study with three or more centres, Ethics Committee approvals of all the respective Institutional Ethics Committees will be required.
  • The PI & Guide will have to give an undertaking that the applied project is not already funded or applied for funding from any other source/ agency.

NOTE REGARDING ETHICAL APPROVAL:

  • In cases of Undergraduate projects Ethical Clearance is required with the application
  • It is the responsibility of the PI to get all necessary ethical approvals (Institutional Ethics Committee/Animal Ethics Committee/Biosafety clearance/ DCGI or any other) as per the latest mandate and according to the study plan.

Constitution of Committee for Evaluation of proposals (Research Review Committee):

  • The proposals for Funding received within the due date shall undergo evaluation by the Expert Committee nominated by Hon'ble Vice Chancellor.
  • Faculty In-charge, Research shall be Member Secretary of the committee.
  • Committee will be composed of 4 internal members from ABVMU, including the Dean of Concerned faculty, and 2 external members who should be subject experts.

Method to be followed for evaluation of Proposals:

  • All the projects received by the due date shall be evaluated by the Research Review Committee.
  • A Faculty wise list of selected proposals will be made. Information will be sent to Principal Investigator through College Principal for presentation.
  • Then the Principal Investigator (UG student) shall have to make a presentation of their proposed project before the Expert Committee.
  • All the projects will be graded by the Research Review Committee, ordinarily, based on following criterion:
    • Novelty and Relevance of study
    • Merit of project
    • Methodology
    • Technical feasibility
    • Potential to Generate Extra-mural Funding

Report Submission and Responsibilities of the Applicant (PI)/ Guide:

  • The Principal Investigator/ Guide has to submit the final report within 2 months of completion of the project.
  • The Principal Investigator/ Guide is expected to submit the audited statement of accounts with the final report (within 2 months of completion of the project).
  • The Principal Investigator/ Guide should acknowledge the support/financial support received as Atal University Research Grant from Atal Bihari Vajpayee Medical University, UP in all the publications/patents/licenses arising out of the funded project.
  • In case any of the above report is delayed for any reason, the PI/ Guide is expected to communicate the concerned Faculty Dean regarding the same.

Note:
All the above reports shall be submitted to the office of Concerned Faculty Dean through the Principal of Affiliated College with proper forwarding.

 

ABVMU SHORT TERM STUDENTSHIP (STS)

Terms & Conditions:
STS Program is intended to encourage and support undergraduate students of colleges affiliated to ABVMU, interested in research.
1. The detailed report should contain the original work carried out by the students between August to December months of concerned year, under the assigned Guide and should not be copied from earlier research/other sources.
2. E-Certificate and stipend will be issued only when the reports are approved after a scientific review by Experts. Incomplete/unapproved/late submissions of STS Reports of previous years will NOT be considered further for review process or for payment of stipend and e-Certificate.
3. ABVMU reserves the rights to approve/ reject a report or ask for a revised report. The Guides will not be paid or given e-Certificate under STS Program. However, the Guide’s name will be printed on the e Certificate issued to the student.
4. The affiliated College should bear the entire cost of the STS research work done by the student. The stipend issued to the selected students is his/her own studentship amount.
5. Research carried out without Ethics Committee approval will not be accepted.
6. The affiliated College must ensure appropriate composition of Ethics Committee as per ICMR Ethical Guidelines. Inappropriate IEC certificates will not be accepted.
7. No Clinical trials are allowed to be carried out under the ABVMU-STS Program. All regulatory clinical trials fall under the purview of Drugs & Cosmetics Act & Rules and should not be conducted by an undergraduate student. Any proposal/report falling in the category of Clinical trials will be rejected by ABVMU.
8. Students will have to follow instructions updated on ABVMU website from time to time. 
9. ABVMU reserves the right for “no further discussion” on rejected/incomplete/late submissions of the STS reports, due to any reason whatsoever.
10. The details about the ONLINE report submission will be declared by the ABVMU time to time. 
11. Requests for reconsideration or providing the information i.e. reasons for rejection of STS applications/ STS reports, names and contact details of students/ guides/ reviewers, any other details of any student/ Guide, titles of STS projects- approved/ disapproved, scientific details of STS projects of students, minutes of STS meetings, marks/ scores or any other confidential information shall not be entertained.
12. The stipend will be transferred to the selected Student’s own single holder bank account and not to any joint account or account of Parents/Guide or anyone else, after the final STS report is approved by the Experts, so therefore the student should ensure to open an own single holder bank account before the report submission. ABVMU will not be responsible for any delay in stipend issue, if the students’ bank details are not submitted as per requirement.
13. ABVMU shall make all efforts to keep the information about participating students/ guides/ scientific reports (soft copies) confidential and in safe custody. However, it will not be responsibility of the ABVMU, if any unintentional loss of any kind due to unforeseen reasons occurred at any time.

Guidelines for report preparation:
1. The selected Students for STS may carry out the proposed research work and prepare the report in any two months from August to December month of concerned year.
2. Research should be done after appropriate Institutional Ethics Committee (IEC) approval has been obtained. The ethical clearance letter has to be submitted along with report (IEC approvals should be taken by latest by 30th November, any IEC letter/approvals taken after 30th November of concerned year, will not be considered as the student will not get two months of time for carrying out the work and submit the due report by the deadline given). 
3. The online report submission details will be declared by ABVMU in due course of time.  
4. ABVMU shall not entertain ANY request regarding extension of last date or acceptance of late reports.  VERY IMPORTANT: Kindly do not wait for the last date and time for submission to avoid the last minute rush. ABVMU will not entertain any last-minute technical errors and incomplete report submissions mails or requests, as two and half months are being given for timely report submission. 
5. Students who are unable to complete their project can look up at the details of next year STS application invitation which will be uploaded as and when required on ABVMU website. Students can re-apply as a fresh application, which will be again reviewed by experts and may or may not be selected. 
6. In an event of the Guide leaving the Institute/College before completion of the project, the student may continue the research work under the new Guide, who fulfils the eligibility requirements from the same department after obtaining permission from Principal/Dean of his/her college. Permission of ABVMU is not required however; details of new Guide may be intimated to ABVMU before report submission along with the letter from the Dean/Principal for the same and details should be updated at the time of online report submission. 
7. Guide and the Host College must take overall responsibility for the conduct of the research project, preparation and submission of complete report and the required enclosures within the stipulated time period. 
8. The payment of stipend will be given to only those students whose report will be finally selected by the ABVMU after review and stipend is for the student only and will be transferred in student’s OWN bank account (single holder) through RTGS/NEFT, only if the report is approved by ABVMU.  
9. The certificates to selected students whose report will be selected by the ABVMU will be issued online by September next year. 

Preparation & Submission of Report:
1. The selected students must complete their STS research project and prepare a detailed report in consultation with their Guide. 
2. Students are advised to prepare copies (PDF format) of their reports for ONLINE submission. Reports sent by e-mail/ hard copy/ post will NOT be accepted. 
3. The report should detail only the original work carried out by the students under the supervision of the Guide. The report should not give results of earlier Guide’s research/other student’s research (MD/MDS/Ph.D. thesis)/or taken from other sources in which student was not involved. In case it is found that details have been copied/ pasted, work is not original or plagiarized the report will be rejected. 
4. The STS report and attached documents should NOT HAVE ANY IDENTIFYING INFORMATION, like name, contact no. or College name of the student or Guide. The name of the student and the Guide and their contact details should be removed from the report and only the STS reference ID may be provided on top. Identifying information must also be masked/removed from the questionnaire, patient information sheet and informed consent form as well. The identifying information should be provided only in the ONLINE submission form. This will permit unbiased review by reviewers. Name of College may also be removed.    Please mask/remove the following information from documents as mentioned above: (a) Names of student/ guide (b) Address/ contact details of student/ guide (c) Tel number/s (d) Email ID’s (e) Acknowledgement section with individual names.  
5. The report must be in the following format only. You may go through instructions for Writing STS Report. i. Reference ID ii. Title iii. Introduction iv. Review of literature v. Aims and Objectives vi. Material and Methods vii. Observations and Results viii. Discussion ix. Conclusion x. Summary xi. References (Vancouver style)   Optional sections (a) Suggestions/Justifications, if any  (b)  Questionnaire/ Study Tool/Patient Information Sheet (Blank format in English language only,              should not contain any names/contact details of student or guide). (c) Informed Consent Form (Blank format in English language only, should not contain any names/contact details of student or guide).  Preparation and Submission of STS-2023 Report  
6. Results must be presented well in the form of graphs, figures and tables. The different sections of report should not be combined (for e.g., Results and Discussion should not be combined). Incomplete reports/reports not in prescribed format will be automatically rejected. Before submitting the report and other enclosures to ABVMU, please refer to the STS self checklist to see if the report is complete in all aspects. 
7. Report should be prepared in PDF format and may be around 20-40 pages with file size up to maximum of 2MB. All graphs/figures/tables should be included in the same file. Please avoid photographs/ pictures (unless, if required), as they may need more space. 
8. The report can be prepared as a single file compiling any anonymized blank format of any performa/questionnaire/case record forms/consent form/any other tools/format of data collection sheet used for research. There is no provision for separate submission for these forms/tools. 
9. If there are any minor changes in title, aims and objectives, sample sizes or methodology of the research, the student should provide adequate reasons/ justification in the report. The reasons will be evaluated and decision of ABVMU regarding acceptance/ rejection of report will be final. Major changes will not be permitted. 
10. After submission of report you will be able to visualize/download your submitted details. And after you click on the final submission button then only the report will be completely and finally submitted on the online portal. In case required, you also have an option to resubmit your report only once before the last date.  
11. After clicking the final submission button, the student will receive an email from ABVMU-STS for successful submission of the report within next 48hrs (please check the spam and junk folders too for the email).
12. The STS report WILL BE REJECTED under the following circumstances:
a) If the student uploads identifying information (name, contact nos. and college name of student or guide) in the report/consent form/questionnaire/Patient information sheet.
b) If the STS ref ID is missing from the report.
c) If the STS report is not prepared as per ABVMU format or if any section is not provided (for e.g. review of literature or reference not provided in the report)
d) If two or more sections of ABVMU format have been combined together (for e.g., results and discussions presented together, or introduction and review of literature not written separately), 
e) Report is incomplete or not in detail (too brief),
f) Sample size is substantially reduced without adequate justification,
g) Major deviations from the proposed study objectives, sample size or research plan,
h) If the work is not found to be original and has been copied/pasted from other sources/ other thesis,
i) If the data presented under results is found to be fictitious/ cooked up or copied
j) Appropriate and timely Ethics Committee approval has not been obtained for the approved STS proposal as stated by ABVMU.
k) If Ethics Committee approval letter is dated after 30th November, as that does not give a minimum time of two months for research to be conducted. 
l) Ethics Committee approval is signed by Chairperson of Ethics Committee/membership of Ethics Committee is not as per ABVMU Guidelines.
m) Ethical Committee has given a provisional approval.
n) If the Guide is a Member of the Ethic Committee, the report will be rejected, because the Guide cannot review his/her own project as per ethics standards.
o) Attestation form is incomplete or not signed by authorities/not stamped/not dated/mismatch in information.
p) Any other reason/s as found suitable by the Reviewers and Competent Authority of ABVMU.

Ethical Considerations

  • The student should obtain a prior clearance/approval from the Institutional Ethics Committee (IEC) if the proposal involves research on human participants and from Institutional Animal Ethics Committee (IAEC) if the work involves use of animals.
  • Ethics Committee approval is needed for all kinds of biomedical research involving human and animal participants or their samples or stored data/clinical records.
  • Ethics Committee approval can be obtained anytime between Augustonward until November; but necessarily, before beginning the research work.
  • IEC/IAEC approval can be obtained from the Institutional Ethics Committee of the college where the student is studying or from the IEC ABVMU. In case the study involves collaboration with another medical/dental college, an Ethics Committee approval from all collaborating institutions needs to be obtained.
  • IEC and IAEC submission is mandatory along with the final report. Please note- Ethics Committee approval should not be dated after 30th November. 
  • In the IEC/IAEC approval letter, the name of the student, guide and title of study (as submitted for STS proposal) and approval status should clearly be mentioned.
  • Ethics Committee approval letter for other similar projects of Guide will not be accepted. A separate IEC approval is required for student’s STS proposal approved by ABVMU.
  • Research should not be carried out if Ethics Committee has not given the clearance. If the Ethics Committee is not holding a meeting, the student will be unable to carry out research. Any research carried out without IEC/IAEC approval will be automatically rejected.
  • Without the ethical clearance or late approval by IEC which does not give minimum two-month time for research or for any other such reason, the report will not be accepted. 1
  • Research which does not involve human participants, samples or data may be categorized by Ethics Committee to fall under “Exemption from ethical review”. The decision is taken by Ethics Committee or its Secretariat. The decision in this regard cannot be taken by the Student/Guide/HOD.
  • In case, it is felt that research belongs to exempt category a “Certificate of exemption” may be obtained from the IEC and submitted along with the report.
  • Informed consent is to be obtained for any research on human participants.
  • Scanned copy of Ethics Committee Clearance/approval letter and/or informed consent form should be submitted as PDF file (up to 1 MB). In case the student has already submitted the Ethics Committee approval at the time of submitting the application/ proposal then there is no need to resubmit the same document again. Original document should be safely kept by the student. It may also be required later when the student would try to publish the research in a journal.
  • Kindly note that the composition of Ethics Committee should be as National Ethical Guidelines for Biomedical and Health Research Involving Human Participants (2017). If the composition is inappropriate (for example, if Principal of medical/dental college is part of Ethics Committee as a Chairperson or the Guide has participated in Ethics Committee meeting decisions as a member, etc.) the ethical clearance will not be accepted and thereby STS report of student will be not considered further by ABVMU.

Paper Presentation/Publication
⦁ The student and the Guide are free to present the research findings in National or International Conferences/seminar/symposium as oral/poster presentations without seeking any approval from ABVMU.
⦁ Upon completion of STS research, the Guides must encourage the students to write research papers under their guidance for publication in ONLY in pubmed/JCR indexed journals and not in non-indexed predatory journals (Pl. see the WAME statement in the following link: http://www.wame.org/identifying-predatory-or-pseudo-journals for detailed information) (Kindly read the Article published in RUHS Journal of Health Sciences for Predatory Journal Menace:  http://www.ruhsjhs.in/files/issue/2018/V3N2/ReviewArticlePredatoryJournals.pdf) Please note: Publication of report is not done automatically by ABVMU but has to be done by the student in any desired and relevant journal.
⦁ The student in consultation with guide should identify a suitable JCR/SCI/SCIE indexed journals as per Clarivate Analytics, in any National or International Journals as per topic of research and relevance of findings for publication of research results.
⦁ The instructions of the identified journal must be followed to write up the article/ paper and submit to the journal for consideration.
⦁ In any such presentation/publication appropriate acknowledgement should be given to ABVMU-STS Program under which the research was carried out.
⦁ Once the paper/abstract is published, a copy of the same must be sent to ABVMU for information.
Similarly if the student receives an award or honor, information should be shared with ABVMU.
